Text and WhatsApp message templates for barbershops (copy and paste)
Ready-to-use messages for every moment in a client's visit, from the booking confirmation to the "we miss you" text, plus tips on timing, tone and consent.
The messages every barbershop should have ready are: a booking confirmation, a reminder the day before, a short same-day reminder, a cancellation or reschedule reply, a review request after the visit, and a friendly win-back message for clients who haven't been in for a while. Below you'll find copy-and-paste templates for each one, plus messages for holidays, price changes, running late and last-minute openings. They work as regular texts (SMS) or on WhatsApp. Replace the parts in [brackets] and adjust the tone to sound like you.
Before you start: tone, timing and consent
A few rules make any template work better:
- Use the client's first name and the barber's name. "Your cut with Carlos" feels personal. "Your appointment" feels like a dentist.
- Always include day, time and how to cancel. Ambiguity causes no-shows.
- Keep it short. Two or three lines. People read these on the go.
- Send at reasonable hours. Roughly between 9 AM and 8 PM local time, unless the client is replying to you.
- Get permission, especially for promotions. Appointment messages to a client who booked are expected. Promotional texts are a different matter: in the US, Canada and Puerto Rico there are rules about marketing messages and consent, and carriers have their own requirements for business texting. Ask clients if they want to receive offers, honor opt-outs right away, and check the current rules where you operate if you plan to send promotions at scale.
Texting vs WhatsApp
Many clients in the US and Canada live in their regular text messages, while others, including many clients in Puerto Rico and across Latin American and immigrant communities, use WhatsApp every day. The templates below work on both. One honest note: if you use Chairfy, its automatic confirmations, reminders, cancellation notices and review requests are sent through WhatsApp from your shop's own number, not by SMS. For clients who don't use WhatsApp, you can send any of these by regular text yourself.
Booking confirmation and reminders
Booking confirmation (right after they book)
Reminder, the day before
Reminder, same day (a few hours before)
First visit (add this to the confirmation for new clients)
Sending the first three by hand every day is where most shops slip, especially on busy days. That's why automating them is the most useful thing a booking system can do. Our guide on how to reduce no-shows explains why the timing matters.
Cancellations, reschedules and delays
Client cancels (reply)
Shop needs to cancel or move an appointment
Barber running late
Client running late (reply)
After a no-show (friendly, first time)
After the visit: thanks and reviews
Thank you + review request (send 1 to 3 hours after)
Shorter version
Reply to a client who had a problem
Reviews matter most on Google. To make the most of them, see our guide to Google Business Profile for barbershops.
Rebooking and win-back messages
Time for the next cut (send around their usual interval)
Win-back (clients who haven't come in for a long while)
Win-back with a small incentive
Loyalty reminder
Keep win-backs personal and rare. One thoughtful message after a long gap works better than a monthly blast.
Announcements: holidays, prices and news
Holiday hours
Shop closed for a day (illness, maintenance, emergency)
Price change (send 2 to 4 weeks ahead)
Not sure what to charge before you announce it? Use our guide on how much to charge for a haircut.
New barber joining
Last-minute opening
Birthday (only if they shared their birthday with you)
Thank you to a client who referred a friend
Parent booking for a child
A final tip on personalizing: save a short note on each client, like how they wear their cut or the barber they prefer, and reuse it in your messages. "Same skin fade as last time?" feels like a barber who remembers you, not a business sending a bulk text.
Quick reference: which message, when
| Message | When to send | Type |

Save time: automate the repetitive ones
The confirmation and reminders are the same every day, so they're the first ones to automate. With Chairfy, those go out on their own by WhatsApp, along with a cancellation notice and a review request after the visit, and you can edit the text of each one to sound like your shop. When you block a day off, clients who had a booking that day are notified too. You can see what the client receives by booking a test appointment in the demo barbershop. Keep the rest of these templates in your phone's notes or as quick replies for the moments that need a personal touch.
FAQ
What should a barbershop appointment reminder say?
The client's name, the service, the barber, the day and time, the address if it's a first visit, and a simple way to cancel or reschedule. Two or three lines is enough.
How far in advance should I send an appointment reminder?
Send one the day before and a short one a few hours before. The day-before reminder gives the client time to cancel and gives you time to refill the slot.
Do I need permission to text my barbershop clients?
Messages about an appointment the client booked are generally expected, but promotional texts have stricter consent rules in the US, Canada and Puerto Rico. Ask before sending offers, honor opt-outs and check current local rules.
Does Chairfy send SMS reminders?
No. Chairfy sends automatic confirmations, reminders, cancellation notices and review requests through WhatsApp from your shop's own number. You can still text clients who don't use WhatsApp yourself.
